Smartees ("we", "us") is operated by Kavela LTD, a company registered in England and Wales (company no. 17051996), Shelton Street, London. This policy explains what we collect, why, and your rights.

1. Information we collect

  • Account data: email address, name and profile picture provided when you sign in via Google or email magic link.
  • Usage data: tool inputs you submit, outputs we generate, timestamps, IP address, browser user-agent.
  • Cookies: a session cookie to keep you signed in; analytics cookies (privacy-friendly, anonymized).

2. Why we collect it

  • To provide tool outputs to authenticated users.
  • To prevent abuse, fraud and excessive automated use.
  • To send transactional emails (sign-in links, account notifications).
  • To improve our tools and understand which are most useful.

3. Legal basis (GDPR / UK GDPR)

We process your data on the basis of (a) performance of a contract (delivering the tools you request), (b) legitimate interest (abuse prevention, product improvement), and (c) consent where required (analytics, marketing).

4. Sharing

We do not sell your data. We share limited data with the following processors, each bound by data-processing agreements:

  • Google (OAuth sign-in)
  • Resend (transactional email delivery)
  • Cloudflare (CDN, DDoS protection, edge security)
  • Hetzner (server hosting, EU/Germany)

5. Retention

Account data: kept while your account is active and up to 12 months after deletion. Tool run logs: 90 days, then aggregated/anonymized. Server logs: 14 days.

6. Your rights

You may request access, correction, deletion, export or restriction of your data, and withdraw consent at any time. Email [email protected]. You also have the right to complain to a supervisory authority (e.g. the UK ICO).

7. Security

Data in transit is encrypted (TLS 1.2+). Passwords are not stored (we use OAuth and one-time email links only). Production database is encrypted at rest.

8. Children

Smartees is not directed to children under 13 (or 16 in the EU). We do not knowingly collect data from them.

9. Changes

We may update this policy. Material changes will be announced via the site. Continued use after changes means acceptance.
